SUBSCRIPTION

Registration can be done via the registration button at the bottom of each course page or via the general registration form in the main menu.

If you enrol for several courses or if several members of one family take part in one and the same course, we ask you to fill in a separate enrolment form for each course.

If you have any doubts or questions, you can always reach us by e-mail, at info@halewynstichting.be.

How do you know if you are registered?

The registration will be processed within 48 hours (this may take longer in case of holidays or holiday periods). After this processing, we will send a confirmation e-mail.

If you do not receive this mail, please check the following possible causes:

  • your inbox is full
  • the email address you gave is not correct
  • the mail was considered spam

Until when can you register?

As long as the course is not full, you can register until the day before the start of the training. In case of such a late registration the day before, we ask you to report it by SMS or telephone as well.

The course appears to be full?

If the course is full, we will mention it on the site. You can still register but we will put you on a waiting list. If someone cancels the course, does not pay on time or does not show up, you may be contacted for participation. This can happen last-minute, even on the first day of the course.

The registration is only final after payment!

Each course has its own payment term which will be communicated in the confirmation e-mail.

In case of late registration, we expect you to transfer the full amount immediately after receiving your confirmation e-mail or to bring cash at the beginning of the internship.

What else do you need to know?

One week before the internship starts, you will receive an information e-mail. It contains all the practical details for a smooth course of day one: place, time of arrival, material to bring along, concerts, etc.

  • your inbox is full
  • the email address you gave is not correct
  • the mail was considered spam

Cancel a registration?

You can cancel your registration subject to the following cancellation conditions:
Cancellations should preferably be made in good time.
Request for reimbursement must be made in writing or by e-mail.

  • For the courses and workshops without overnight stay:
    There is no cancellation charge for cancellations up to one week before the start of the course.
    If cancelled less than one week before the start of the course, 50% of one module price will be charged as cancellation fee.
    If cancelled after the start of the course, no cancellation fee will be charged.
  • For courses with overnight stay:
    The contribution is never fully reimbursed.
    In case of cancellation:
    • before 1 April of the current year, we charge 15% of the course fee for administration costs.
    • from 2 months before the start of the course, we charge 30% of the course fee for administration costs.
    • less than one week before the start of the course, the costs for accommodation and meals will be charged in full, as these costs must also be paid in full to the course accommodation.
      This amount is 70% of the participant fee.


Interrupting or cancelling a course?

The interruption or cancellation of a course, for whatever reason, does not entitle the student to a full or partial refund.

  • For the courses and workshops without overnight stay:
    If you quit the course after the first lesson has already taken place, there will be no refund. This also applies if you are unable to attend one or more lessons of the course and then return afterwards.
    The only exception to this is a complete cancellation for medical reasons. If you can present a medical certificate that explains your cancellation for the rest of the course, you will be charged for the number of lessons taken plus a €10 administration fee.
  • For overnight courses:
    Interrupting or abandoning a course for any reason does not entitle the student to a refund.


Halewyn Foundation cancels a course?

We reserve the right to cancel a course at any time if there are insufficient registrations or if a teacher is unable to attend due to illness or force majeure. The registration fee will then be refunded in full. There will be no additional compensation for registered participants.

IMAGE MATERIAL

By registering, you give us permission to photograph you during the course. This photo and film material will be used in our own publications, website and social media.

INSURANCE

You are insured for accidents and civil liability during all lesson activities under the supervision of a staff member.

You are not insured for travelling to and from the course, for leaving the course area or for participating in activities that you or other participants organise on your own initiative.
